Client files that file themselves, in Teams and AFAS at once
The problem
HVK Stevens advises entrepreneurs, corporations, private equity funds, charities and family businesses, which means a great many client files and folders to keep in order.
Managing them came with administrative hurdles, and the firm wanted the flexibility to reach documents through the tools its people already worked in Teams and SharePoint rather than through a separate system.
The hard part was speed and judgement at volume: going through all the files as smartly as possible and working out what should be uploaded and what should not.
What we built
dev-UP linked SharePoint to AFAS, so the firm's document management and its business software stopped being two separate places.
A complete folder structure can now be created for a customer straight from Teams or SharePoint. Every file and folder added to it syncs automatically into AFAS.
The sync runs both ways: files that customers add on the AFAS side come back into SharePoint automatically, so whichever tool someone opens, the documents are there and current.
The integration was built on the AFAS API together with Power Automate.
The result
- Document management for clients now runs through SharePoint and Teams, the tools the firm already uses
- Files and folders sync automatically into AFAS, and back again, with no manual transfer
- The administrative hurdles around managing client files were removed
- The firm's use of AFAS was strengthened rather than worked around
