Automating Surveyor Team Assignment for ACDA RPA

dev-UP replaced ACDA RPA's manual, spreadsheet-based surveyor team assembly with an automated matching platform that enforces hard requirements, ranks options, and keeps planners in full control cutting planning from hours to minutes.

ACDA RPA

ACDA RPA is a global quality assurance and risk management company whose surveyors conduct audits across hundreds of sites worldwide. dev-UP built a platform that automates surveyor team assignment end-to-end, while keeping planners fully in control of the final decision.

Objective

  • Replace manual, spreadsheet-based team assembly with an automated matching system
  • Respect hard requirements (qualifications, availability, conflicts of interest) without exception
  • Score and rank options against softer preferences (distance, customer preference, team balance)
  • Give planners a fast, reviewable way to generate, adjust, and approve assignments

Challenge

Planning a single audit meant manually cross-referencing surveyor qualifications, availability, travel distance, conflicts of interest, and customer preferences all in spreadsheets. This was slow, and small oversights led to suboptimal assignments or scheduling errors that surfaced later, when they were harder and more costly to fix.

Solution

dev-UP built a full-stack planning platform that generates the best available surveyor teams for any given audit request. Planners submit a request site, survey type, dates, and required team composition through a simple web interface. Behind the scenes, an optimization engine filters out any team that doesn't meet hard requirements like qualifications, availability, and conflict-of-interest rules, then ranks the remaining valid options against softer preferences such as travel distance and customer history. Results come back in real time, and planners can adjust exclusions or preferences and regenerate instantly before approving a final team.

Underlying data surveyor records, site information, customer preferences is kept continuously in sync from the client's existing data sources, so the platform always reflects current reality without manual data entry.

Outcome

  • Planning time for surveyor team assignment dropped from hours to minutes per request
  • Hard constraints (qualifications, availability, conflicts of interest) are now enforced automatically and consistently
  • Planners retain full control over the final decision, with the heavy combinatorial work done for them
  • The system scales across hundreds of sites without added planning overhead
